Dear Customer Relations Representative,

I am writing to express my concern regarding my recent experience while traveling with Southwest Airlines on June 15, 2026. I was scheduled to fly from Albuquerque, New Mexico, to Washington, D.C. Unfortunately, my flight was delayed for several hours with very limited communication provided to passengers regarding the cause of the delay or the expected departure time.

In addition to the delay, my checked baggage did not arrive at my destination. After arriving in Washington, I spent nearly an hour attempting to locate my luggage and speak with an airline representative. Although I was informed that my bag would be delivered to my hotel, it did not arrive until the following evening. Because of this delay, I was forced to purchase clothing and personal necessities while attending professional meetings.

I understand that delays and baggage issues occasionally occur in the airline industry. However, the lack of timely communication and updates significantly increased the inconvenience and frustration experienced by passengers. Clear, consistent communication during unexpected disruptions is essential for maintaining customer trust and satisfaction.

I respectfully request reimbursement for the reasonable expenses I incurred due to the delayed baggage, as well as a review of your communication procedures during travel disruptions. Improving communication with passengers would greatly enhance the customer experience during unavoidable delays.

The purpose of this letter is to formally communicate a customer complaint while requesting specific action from the company. The letter seeks reimbursement for expenses related to delayed baggage and encourages the airline to improve communication procedures during service disruptions. I believe the letter achieves its purpose by clearly describing the problem, explaining its impact, and identifying specific changes that would address the issue.

The primary audience is Southwest Airlines' customer relations department. Because the audience consists of professionals responsible for handling complaints, I used a respectful, formal, and solution-oriented tone. Rather than expressing anger or frustration, I focused on providing factual details and explaining why the experience created problems.

I wrote from the persona of a dissatisfied but reasonable customer. This perspective influenced my approach by encouraging me to remain firm while also acknowledging that delays and baggage issues can occasionally occur. Maintaining professionalism increases the likelihood that the organization will respond positively.

The most difficult decision was determining how strongly to express dissatisfaction while maintaining a professional tone. I believe the letter works well because it balances concern with respect and includes a specific request for action.

If I were writing to a friend about the same experience, the communication would be much less formal. I would likely focus more on emotions and personal frustration, use informal language, and omit many of the details and organizational structure that are necessary in professional communication.
